Responsibilities

  • Update documents (terms & conditions, IPIDs, Insurance Policies, forms. In total, around 400 documents (also including digital/online fulfilment).
  • Work within the project team, manage prioritization of documents on behalf of internal document owners (departments) in the organisation. (One of the resources per country should have more experience in light project management, prioritization and time management.)
  • Current documents are mostly in original formats in: InDesign; Word; PDF
  • For some older PDF based documents, original documents may be missing at this point, and creation of new originals might be needed.   
  • Transformation work consists of:   
  • Texts from current document formats should be moved to new document templates aligned with Accessibility Act (also including new Legal Entity)
  • Adding new legal entity information to current documents, which will otherwise stay the same
  • If needed for PDF only documents which may be un-editable, to create new original documents (probably in Word) 
  • Method: Using AI tools such as ChatGPT 4o (if possible) to moving texts between documents/formats 
  • Manually move text content from one document/format to another
  • Quality control: That all text, blocks etc have been moved into new formats (as many are legal documents) Random checks so documents and templates are aligned with Accessibility Act, with provided software To some extent, assist in writing online content to current websites (Europaeiske.dk/erv.se) or for two new corporate websites for new legal entity (text production, not publishing in CMS tool)

Profile

  • Have experience of light project management, project prioritisation, tasking and time management
  • Application knowledge/experience of each resource:
  • Low to medium knowledge/experience of InDesign
  • Good to advanced knowledge/experience of Word
  • Good to advanced knowledge/experience of Acrobat Pro
  • Medium experience of using ChatGPT 4o (or similar tool) for AI supported text editing/transformation
  • Being structured, meticulous and tenacious with good collaboration skills are good qualities for these resources.
